모집내용 The Operations Manager is a pivotal role behind the scenes, work directly with the local client servicing team, liaises with operations (Ops) team in Asia Pacific (AP) region, and supports the GM and CFO & EVP of Global Operations to provide resources and infrastructure needed to:

 Be open-minded and willing to learn the inner workings of a PR and IMC agency
 Understand Hoffman’s business objectives and the nature of its clients
 Provides general guidance to other members of the Ops team in AP as needed and ensures that other team-members are cross-trained in all aspects of the office administration aspect.
 To provide presentable office look: maintain HA style, attract potential candidates, presentable to client.
 Liaise with IT and accounting to maintain reasonably comfortable working environment to maintain high productivities
 Enhance the firm’s intellectual capital by driving innovation, developing
 Work closely with GM and CFO & EVP of Global Operations to explore new products and services, and leveraging our global Ops team’s knowledge, insights and ideas

The scope of work and span of control is almost always across several offices in the Region.


Office Administration
 Manages the common area, answering phone to insure effective telephone and mail communications both internally and externally to maintain professional image. Ensuring coverage when you are not available, updating extension list when there is a change. Also includes sorting and distributing incoming mail. Responsible for postage for outgoing mail
 Supervises and coordinates overall administrative activities in the office
 Supervises the maintenance and alteration of office areas and equipment as well as layout, arrangement and housekeeping of office facilities
 Negotiates the purchase of office supplies and furniture, office equipment, etc. for the entire staff. This includes office supplies, business cards, letterhead, flowers, FedEx supplies, etc
 Supervises the maintenance of office equipment, including copier, fax machine, etc. Point of contact for service calls and maintain service call log
 Responsible for the facilities day-to-day operations (such as recycling/shredder pick-up, liaise with building management office for changing light bulbs, general repairs in the office, pumping or water problem, etc.) Maintains and manages good relation with vendors
 Responsible for agency subscriptions. Log in subscriptions; maintain subscriptions – manage database, renewals, complimentary copies; track subscriptions
 Responsible for business card production
 Agency travel expert. Responsible for maintaining list of preferred hotels and negotiating best rates. Available to assist employees in booking travel as necessary
 Responsible for social activities in local office: birthdays, anniversaries, major sick leave
 Agency ergonomics expert. Assist new employees and HA visitors. Provide orientation based on office guideline. Work with local general manager, VP Operations, and/or IT to set up work stations for optimal ergonomics
 Agency housekeeping – maintenance a good system to keep common areas clean
 Support APAC Finance Director on billing and invoicing
 Participates as needed in special projects
 Other projects and responsibilities as assigned


HR Support
 Work closely with the management team and Regional HR on all HR-related functions, ensuring compliance to HR policies and procedures
 Scheduling employee onboarding orientation
 Manage BambooHR – employee data, leaves management, etc.
 Provide support to employees in HR-related topics, such as leaves, overtime, etc., and resolve issues and problems
 Administrative support on performance reviews (3-month and annual review) and training and development program
 Coordinate exit process for departing employees
 Liaise with service provides re insurance and pension on any HR-related issues
 Administrative support recruiting function, such as scheduling interviews etc
 Assist Regional HR in development and implementation of human resources policies
 Comply with local labor law by studying existing and new regulations; advise the management team and Regional HR on needed actions
 Represent and uphold a positive and engaging employer brand, cultivate Hoffman culture

Finance Support
 Work with accountant to manage company cash
 Take care of all the checks and company stamps
 Work for monthly AGE expenses reports
 Support AGE payment procedure and details
 Support invoicing takes if needed
 Assist accountant to classify, code, and summarize numerical and financial data to compile and keep financial records, using journals, ledgers, and/or computers


Qualifications
 With “can do” and “positive” attitude.
 Fluent in spoken and written English
 Be proactive to deal with changes as business evolves with time
 Working knowledge of mail processes such as Federal Express, DHL and local courier
 Good planning and organizational skills
 Well-developed interpersonal and communication skills
 Professional appearance and manner
 Experience in office management capacity
 Computer literate
 Ability to manage teams, projects and staff on a case-by-case basis (supervisory experience)
 Ability to negotiate effectively
